How RunBelong handles personal information.

RunBelong provides software for running clubs, including a club administration CMS, public club and event pages, online event entry and a member-facing mobile app. References to RunBelong, we, us or our mean the RunBelong service.

Information may be provided by individuals or entered by a club when using RunBelong.

Accounts, clubs and membership

• Account information, such as your name, email address, login details, club, role and admin permissions.
• Club profile information, such as club name, description, location, website, email address, branding, logo, colours and club size.
• Club member information entered by club admins, such as names, email addresses, membership details, affiliation type, membership dates, paid status, categories and linked app accounts where applicable.
• Club activity information, such as schedules, sessions, check-ins, race entries, race recommendations, race results, championship tables, standings and related notes.
• Interest and support information, such as details submitted through register-interest forms, admin invite flows, account deletion requests and other messages you send us.
• Technical information, such as basic device, browser, log, security and usage information needed to run, protect, debug and improve the service.

Event entries

Event organisers determine which information is needed for their event, so the exact fields can vary. Information will typically include:

• Contact details such as your name, email address and telephone number.
• Personal information such as your age, date of birth and gender.
• The running club or group you belong to, where you choose or are required to provide it.
• The name and telephone number of an emergency contact, together with your confirmation that you have permission to provide those details.
• Technical information such as IP address, login data, browser type and version, time zone, location, operating system, platform and device information.

We only use personal information where the law allows us to.

• Create and manage accounts, authenticate users and provide secure access to the CMS and app.
• Help clubs manage schedules, members, race recommendations, results, championships, check-ins and club information.
• Process event entries and pass entry information to the organising club.
• Send service messages such as admin invites, password resets, account notices, entry confirmations, beta updates and support replies.
• Protect the service from abuse, spam, unauthorised access and security issues.
• Understand how RunBelong is used and improve the product during beta and beyond.
• Comply with legal, regulatory, accounting, security and dispute-resolution obligations.

Club admins may enter information about members, runners, event entrants, race results and attendance. Clubs should only add information they are permitted to process and should keep it accurate and up to date.

For information entered and managed by a club, the club is normally responsible for deciding why and how that information is used. RunBelong provides the software that stores and processes it.

If you have a question about information your club has added, you may need to contact the club as well as RunBelong.

We process personal information where it is needed to provide the service or perform a contract, where we have a legitimate interest in operating, protecting and improving RunBelong, where we need to comply with a legal obligation, or where consent is required.

Where a club uses RunBelong to manage members or event entrants, the club is responsible for identifying its own lawful basis for that processing.

Event-entry and club-management information is shared with the appropriate running club so it can administer membership, activities or the event entered.

We also use trusted providers for hosting, database services, authentication, email delivery, payments, anti-spam and security, and location or geocoding support. Providers currently include Supabase, Vercel, Stripe, Resend, Cloudflare Turnstile and Geoapify where the relevant service is used.

We do not sell personal information. We may share information if required by law, to protect the service, or as part of a business transfer such as a sale, merger or restructuring.

RunBelong may use essential cookies, local storage or similar technologies to keep users signed in, protect the service, remember session state and support core functionality.

If we add analytics, advertising or other non-essential tracking, we will update this policy and provide any consent controls required by law.

We keep account and club information for as long as needed to provide the service, support clubs, comply with legal obligations, resolve disputes and maintain security records.

If you delete your account, your RunBelong login and linked profile can be removed. Some club records, such as race results, check-ins and historical administration records, may remain where the club needs them for legitimate purposes.

Register-interest and beta enquiry records may be kept while we manage onboarding and product communications, unless you ask us to delete them sooner.

Depending on how your information is used, you may have rights to access, correct, delete, restrict or object to processing, or to receive a copy of your personal information.

You can request account deletion on our account deletion page, or email hello@runbelong.co.uk. If your request relates to information controlled by a club, we may need to work with that club to respond.

We use technical and organisational measures designed to protect personal information, including authenticated access, role-based CMS permissions, database security controls and service monitoring.

No online service can be guaranteed to be completely secure. Users and club admins should protect their passwords and only grant administrative access to trusted people.

RunBelong is intended for running clubs and their members. Clubs and event organisers should take particular care when processing information about children or young people and must have appropriate permissions and safeguarding arrangements in place.

We take complaints about the collection and use of personal information seriously. If you believe information is being collected or used unfairly, misleadingly or inappropriately, or have concerns about its security, contact hello@runbelong.co.uk.

We may update this policy as RunBelong develops, including when new app features, providers or legal requirements apply. The latest version will always be posted on this page.
