Privacy Policy

How RunBelong handles personal information.

This policy explains what information RunBelong collects, why we use it, who we share it with, and the choices and rights available to users, club admins, club members, and prospective members.

Who We Are

RunBelong provides software for running clubs, including a club administration CMS and a member-facing mobile app. References to RunBelong, we, us, or our mean the RunBelong service.

Information We Collect

Account information, such as your name, email address, login details, club, role, and admin permissions.

Club profile information, such as club name, description, location, website, email address, branding, logo, colours, and club size.

Club member information entered by club admins, such as names, email addresses, membership details, affiliation type, membership dates, paid status, categories, and linked app accounts where applicable.

Club activity information, such as schedules, sessions, check-ins, race entries, race recommendations, race results, championship tables, standings, and related notes.

Interest and support information, such as details submitted through register-interest forms, admin invite flows, account deletion requests, and other messages you send us.

Technical information, such as basic device, browser, log, security, and usage information needed to run, protect, debug, and improve the service.

How We Use Information

To create and manage accounts, authenticate users, and provide secure access to the CMS and app.

To help clubs manage schedules, members, race recommendations, results, championships, check-ins, and club information.

To send service messages, such as admin invites, password reset emails, account notices, beta updates, and support replies.

To protect the service from abuse, spam, unauthorised access, and security issues.

To understand how RunBelong is used and improve the product during beta and beyond.

To comply with legal, regulatory, accounting, security, and dispute-resolution obligations.

Club Data and Responsibility

Club admins may enter information about club members, runners, race results, and attendance. Clubs should only add information they are allowed to process and should keep it accurate and up to date.

For information entered and managed by a club about its members, the club may be the organisation primarily responsible for deciding why and how that information is used. RunBelong provides the software that stores and processes it.

If you are a club member and have a question about information your club has added, you may need to contact your club as well as RunBelong.

Legal Bases

We process personal information where it is needed to provide the service, where we have a legitimate interest in operating and improving RunBelong, where we need to comply with legal obligations, or where consent is required.

Where a club uses RunBelong to manage its own member information, the club may rely on its own lawful basis for that processing.

Who We Share Information With

We use trusted service providers to run RunBelong, including hosting, database, authentication, email delivery, anti-spam/security, and location/geocoding providers.

Current or expected providers include Supabase for database/authentication, Resend for email delivery, Cloudflare Turnstile for spam protection, Geoapify for location lookup/map support, and our website/app hosting providers.

We do not sell personal information. We may share information if required by law, to protect the service, or as part of a business transfer such as a sale, merger, or restructuring.

Cookies and Similar Technologies

RunBelong may use essential cookies, local storage, or similar technologies to keep users signed in, protect the service, remember session state, and support core functionality.

If we add analytics, advertising, or non-essential tracking technologies, we will update this policy and provide any consent controls required by law.

How Long We Keep Information

We keep account and club information for as long as needed to provide the service, support clubs, comply with legal obligations, resolve disputes, and maintain security records.

If you delete your account, your RunBelong login and linked profile can be removed. Some club records, such as race results, check-ins, and historical club administration records, may remain where the club needs to keep them for its own legitimate purposes.

Register-interest and beta enquiry records may be kept while we manage onboarding and product communications, unless you ask us to delete them sooner.

Your Rights

Depending on where you live and how your data is being used, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information.

You can request account deletion at /delete-account. You can also contact hello@runbelong.co.uk for privacy requests.

If your request relates to club member information controlled by your club, we may need to work with the club to respond.

Security

We use technical and organisational measures designed to protect personal information, including authenticated access, role-based CMS permissions, database security controls, and service monitoring.

No online service can be guaranteed to be completely secure, so users and club admins should also protect their passwords and only grant admin access to trusted people.

Children and Young People

RunBelong is intended for running clubs and their members. Clubs should take care when entering information about children or young people and should ensure they have appropriate permission and safeguarding processes in place.

Changes to This Policy

We may update this policy as RunBelong develops, including when new app features, providers, or legal requirements apply. The latest version will be posted on this page.
